Who we are
The Maple Wood Isle Association, Inc. is a Florida not-for-profit corporation formed in 1978 as the Homeowners Association (the HOA) for the Maplewood Isle subdivision in Broward County Florida.

What personal data we collect and why we collect it
This WWW site asks you to provide Name, Address and E-Mail in order to register. Additional information such as Phone numbers, Social Media contact, photos may optionally be provided but are not required for Registration. The data collected will be used by the HOA board of directors to contact residents individually or en-mass for the purposes of conducting HOA business. In addition any information provided may be published in the “Address Book” section of this WWW site for the use by any other registered member of the WWW site. This information will not be sold to any third party or distributed for any purpose other than conducting official HOA business.
This site may grant logins with varying levels of access to:
- Owners and Residents of Maplewood Isle
- Employees of the Property Manager of Maplewood Isle
- Prospective Residents with contracts to purchase a property in Maplewood Isle (limited access to most non-public portions of the WWW site)
- Security Officers employed by Maplewood Isle contracted security company (access to resident info for purpose of determining entry authorizations)
Should an Owner sell a property or a Resident move out of the community, then their user Profile data will be changed to ‘past resident’ for a period of one year after which they will be deleted. This permits some access to the WWW site to maintain contacts, access photos, etc.
Resident Info
The Resident Info data is collected to permit security officers to determine authorization for entry. Collected consists of:
- Names of people residing at a Vestal Address — These people are always authorized to enter upon verification of ID
- Vehicles of property owners or of people residing at the Vestal Address — These vehicles are always allowed to enter
- Contact Information to be used to authorize guests and notify Residents of HOA business
- Guest Info — who is permitted to enter without further authorization, who should be denied entry without any call
- Special Instructions — Any additional info a resident believes security officers should have.
This information is accessible by: - HOA Board Members — read-write access to all data
- HOA Property Managers — read-write access to all data
- HOA Security Officers — read-write access to all data.
- All residents/owners with a login tagged to a given adress
All changes to this data is logged with the login making the change and the date/time the change was made. This history of changes is accessible only to administrators of this WWW site.
Compliance Data
Each Homeowner and Resident must abide by all governing documents of the HOA. These documents can be found here. Board Members, compliance committee members and property managers are all given authority to note violations and this data will be stored on the WWW site.
Board Members, Compliance Committee Members and Property Managers will all have read-write access to this data.
Residents and Property Owners will have read-only access to this data.
Compliance data is linked to a property. Any login that is linked to the same property (by address) will have access to the compliance data of that property.
Comments
When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.
An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.
Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.
Cookies
If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.
If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.
When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. WWW site access may be assessed periodically for utility of our users. We may collect individual IP addresses, Email, Login statistics etc. to determine how best to maintain our site.
Who we share your data with
If you request a password reset, your IP address will be included in the reset email. We do not share data with any third party except where required by law.
How long we retain your data
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.
For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their own personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
Once a resident moves out of the community their login will be designated “past resident” for a period of one year after which it will be removed. If a resident requests earlier removal of their login this will be accomodated.
What rights you have over your data
If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Visitor comments may be checked through an automated spam detection service.
